Creating an Authorization
Open an existing file or create a new file for the client.
a. Click on the Authorization tab within the Client File
b. Next, click New
c. Click on the Clinical Referrals tab
d. Click on Add to open the authorization and select your providers from the Search screen
e. Select multiple criteria such as Specializations, Gender and Languages
f. Enter the client’s preferred Zip Code Radius.
g. Click Search to obtain your results
h. To select your providers, click on the row once while holding down the Ctrl key on your keyboard and then click on OK.
i. Select Activity Type i.e. In person counseling
j. The # Sessions will default to what is set in the client organization’s current contract. The Session Duration will default to 60 minutes
k. Enter the Session Hourly Rate
l. Enter your Start Date and End Date for this authorization (an end date is important as it allows you to control your payables and ensures providers do not stretch appointments and gets their billing in in a timely manner
m. The Case Manager is optional. If selected, you can search for files in the Client File search by case manager
n. Notes and Special Instructions allow you to provide additional information to your provider. Special Instructions allow you to select templates (that you create)
0. Click on Save and Close to confirm your changes and return to the previous screen.
p. Click the Save to create the Authorization number and populate the Potential Providers grid below
q. Click on the View / Email drop down to:
i. View will allow you to Print Preview or Print the listing for the client
ii. Email will all you to email a copy of the referral listing to client. For this work, you will need to collect the Client’s email address under the Details tab.
r. Here is a sample copy of the listing that will be sent to the client. The Case Number is included below the provider names. This is the number the client will give to the provider of their choosing.
