Setting up for automatic eligibility file feed for a client company
For groups experiencing frequent changes in covered members and service eligibility, EAP Expert Cloud empowers you to seamlessly integrate data, ensuring your eligibility files remain continuously up-to-date.
Let's walk through the steps to set up the feed once and then enjoy hassle-free operation:
Navigate to the Organization/Groups Module
Use the search features to locate the group, click on the line item to open the organization
Locate the ‘Eligibility FTP Details’ tab within the ‘Details’ screen
Check the box ‘Import Eligibility from FTP’ and fill in the required fields to direct EAP Expert Cloud to import information from the specified source
Note: Feel free to contact your IT team for assistance in configuring this import feed in your EAP Expert Cloud software. Our support team is also available to help you!
Choose Save to save changes and continue working, or select Save and Close to save and exit the company file
Once the first data sync has occurred, typically after 24 hours, review the imported data in the relevant section(s) of EAP Expert Cloud
How to manually import an eligibility list for an organization
Unlock precision and control in your Employee Assistance Program with our manual addition feature. Tailor eligibility criteria, adapt to changes seamlessly, easily handle exceptions, and ensure data accuracy.
To begin:
Navigate to the Organization/Groups Module
Search for the organization that you’d like to add an eligibility list for
Proceed by choosing the organization from the list using the left-side radio button.
Use the down arrow next to the CSV file button and select Import Eligibility File
The 'Eligibility Import Map' pop-up will be displayed
Enter the corresponding Excel column number for each field; for example, if the First Name Field is in Column A, enter '1,' and for the Last Name Field in Column B, enter '2,' and so forth.
Easily map and import demographic question set data by following the steps below:
Click on the green Add button under the bottom section, ‘Eligibility Import Question Map’
Next, select the question to add to this action from the drop-down menu, along with the corresponding Excel column number for the field
Press the OK button to save
Repeat this process for all inclusion of all questions in the data import
Note: The question(s) in the drop-down list are connected to the 'Demographic Set' in the organization's details tab, directly sourced from the 'Demographic' question(s) in the Survey/Question Set Designer Module.
Click the OK button on the top menu bar once all fields have been arranged for mapping
If open, Save and Close the Excel file
Browse to upload the eligibility file within the ‘Single File Import’ tool
Click the OK button to upload the data into EAP Expert Cloud
After completing the import process, meticulously review the imported data for accuracy in EAP Expert Cloud's relevant section(s).
Troubleshooting Information
Listed below are a few tips to assist with common import issues:
Check the File Format: Ensure the eligibility list is in the correct file format (e.g., CSV, Excel) as the software specifies. Incorrect formats can lead to import errors.
Validate Data Fields: Confirm that all required fields (e.g., first name, last name, employee ID, eligibility status) are present and correctly labeled. Missing or mislabeled fields can cause the import to fail.
Match Column Headers: Make sure the column headers in your import file match precisely with the headers specified by the EAP software. Even tiny discrepancies can cause issues.
