Account Manager Hours Data | With this import feature, you can effortlessly include the time you or your team invest in business development or customer account management tasks. Following the import, this data is exclusively visible when generating a report. |
Coaching Sessions | This import function simplifies adding information about provider sessions to a case within the Client Files Module, utilizing the Client File’s Authorization number as a reference. |
Client File Import | This import feature is specifically designed for adding client data to EAP Client Files and Life Balance Files within the Client Files Module. |
Import Provider in Group Practice | With this import, you can add provider information through three types of CSV files:
The data uploaded will be stored in the Clinical Resources Module. |
Send Bulk Survey | This import feature is specifically designed for sending surveys in bulk, and it's important to note that the data from this import is not permanently stored in EAP Expert Cloud. |
Organization Alias Data | This import function is tailored to incorporate alias names for client companies. The data brought in will be displayed in the Organization/Groups Module and can be seamlessly linked when entering an organization name in various file types. |
Better Help Session | This import creates provider sessions from external platforms, such as BetterHelp, into a client file. Using the CSV Authorization and PaymentStatus columns, it links the session to the corresponding client file and updates the status to 'Paid' if indicated. |
Call Center Data | This import feature enables the manual import of Protocall information, displaying it in the Call Center Integration. Note that this import is exclusively designed for teams with the Protocall Add-On. |
Chat Bot Data | This data import incorporates chatbot information into a client company's record within the Organization/Groups Module. |
Client Files Activities | This import integrates activity time into a client file seamlessly. Once imported, each activity is listed under the Sessions/Activities tab in the Client Files Module. |
Client File Received Consent Forms | The import allows efficient bulk updates to the ‘Consent’ field within each included case under the Client FIles Module. |
Closed File | This feature is designed to streamline bulk updates to case closing details in the Client Files Module. |
Discharge Information | This Client Files Module data import is intended for bulk updates for various case fields such as Date of 1st offered appointment, Date of First Appointment, PHQ9 Assessment Score, GAD Assessment Score, PHQ9 Discharge Score, GAD7 Discharge Score, Date of Last Session, and more. |
Mobile Traffic Data | This feature incorporates user data about the interactions and activities (ex., number of visits, page views, duration of visits, etc.) of users on a website or application, specifically through mobile devices, such as smartphones and tablets into a client company via the Organization/Groups Module. |
Organization/Group | This data import streamlines the addition of profile information for client organizations. It has the flexibility to import data to existing clients or create a new organization within the Organization/Groups module. |
Child Organization(s)/Population(s) | This import feature efficiently adds child organizations or departments affiliated with a parent organization and/or updates population numbers for covered organization members, including those with one or multiple divisions in the Organization/Groups Module. |
ProviderFiles Bulk Invitation | This import feature is tailored for granting provider access and sending email invitations for Providerfiles registration. It's essential to note that the data from this import is not retained in EAP Expert Cloud permanently. Note that this import is exclusively designed for teams with the Providerfiles Add-On. |
Provider Claim | This function efficiently streamlines the bulk import of provider sessions and associated payment status. The imported data is stored in the Sessions/Activities tab within the Client Files Module and accessible in the Provider Claims Module. |
Provider Credential | This data import is designed to seamlessly add active licensure and/or liability insurance information to a provider's profile within the Clinical Resources Module. |
Provider in Private Practice(s) | With this import option, you can seamlessly add or update information for Providers in Private Practice within the Clinical Resources tab of the system. |
Web Traffic Data | This data import is utilized to incorporate web traffic data for users of client companies, encompassing information such as date, web page name, and traffic count. The collected data is stored within the Organization/Groups Module for each company included in the import. |
Rollover Files | This data import tool is specifically designed for EAP and SAP client files. Its function is to locate and copy specific authorizations, creating a duplicate of the client file linked to that authorization. |
CSV file configuration
Starting a CSV file is a simple process that involves creating a plain text file with comma-separated values.
Begin a CSV File:
Open a Text Editor: Use a text editor such as Notepad on Windows, TextEdit on macOS, or any plain text editor you prefer
Enter Header Row: Enter column headings on the first line. Separate each header with a comma
Example:
Column Heading Example for Child Organization(s) / Population(s) CSV Import:
Company ID, Company Name, Child Company ID, Child Name, Date, Population, CA Population
Important: Before importing data, carefully review the pop-up from the import button to ensure that the necessary headings are listed in your CSV file.
While it's acceptable for the column data to be empty, including all headings is crucial for a successful import.
Enter Data Rows: For each subsequent line, enter the data values for each column, separated by commas
Example:
Data Rows Example for Child Organization(s) / Population(s) CSV Import:
Company ID, Company Name, Child Company ID, Child Name, Date, Population, CA Population
Company ID, Company Name, Child Company ID, Child Name, Date, Population, CA Population
Save the File: Save the file with a ".csv" extension. In the save dialog, choose "All Files" as the file type and add ".csv" to the end of your chosen file name
Choose Encoding (Optional): Choose the appropriate character encoding if prompted. UTF-8 is a common choice for international character support
Verify File Content: Open the saved CSV file in a text editor to ensure it looks correct and commas separate data
Your CSV file is now created and ready to use. You can open it in spreadsheet software like Microsoft Excel, Google Sheets, or any other application that supports the CSV format.
Import the File into EAP Expert Cloud:
Look for the Import Data via CSV button as you navigate modules and screens
Choose the correct CSV file type and click OK to confirm the required headings
Use the Browse option to select and import the file by clicking OK
The data import process has been successfully finalized
Ensuring data validity
Navigate to the relevant sections of EAP Expert Cloud where the data was imported and search specific records.
Note: This step is crucial for validating the success of the import process, ensuring that the data has been accurately added and appropriately mapped within the system.
Troubleshooting Information
Here are a few tips to assist you with the CSV File Import feature:
Check CSV File Format: Make sure your CSV file is formatted correctly. Verify that the delimiter (usually a comma) aligns with the Cloud’s requirements.
Review Header Row: Double-check the header row in your CSV file to ensure it accurately reflects the data fields the software expects. Mismatched headers can lead to incorrect data mapping.
Mind Special Characters: Be cautious with special characters. Ensure that any special characters in your data are handled appropriately to avoid potential import errors.
Watch for Duplicate Data: Watch for duplicate entries in your CSV file.
Test with a Subset: If possible, perform a test import using a small subset of your data first. This allows you to identify and address potential issues on a smaller scale before importing the entire dataset.
