In this guide, we’ll review:
Automated credential tracking
EAP Expert Cloud meticulously manages your provider credentials, including licensure and professional liability insurance coverage, associating each credential with its expiration date.
This information is initially recorded during onboarding and updated as providers renew their credentials.
Navigate to the Clinical Resources Module
Look up a provider in the Clinical Resources Search and click their record to open their file
Locate the License/Liability tab
Liability: This section includes new professional liability insurance details, including start and expiration dates and total coverage amounts.
License: Use this feature to input new clinical licensure details, including the effective and expiration dates.
Important: If you utilize Providerfiles, your providers can conveniently access and update their licensure and liability insurance directly through the provider portal.
If any changes were made, click Save or Save and Close to save and exit the provider profile
Alert pop-up on expired credentials
When accessing a provider profile in Clinical Resources or assigning a client to them, the system will alert you if either the license or liability insurance is outdated for your attention.
Note: While a provider may have an expired license or liability insurance, you can still assign an authorization to them.
The alert serves as a friendly reminder that their information is outdated.
Notification channels
You can contact your providers regarding their license and liability insurance using multiple communication channels, including email and provider portal messaging.
Email a Provider
Click here to review the options for sending an outgoing email from EAP Expert Cloud.
Tip: Utilize the activity log to document time spent and outreach to a provider.
Leverage file alerts to inform team members about important details regarding the provider and/or set a To-Do reminder for yourself to facilitate follow-up.
Automatic Email Reminder for Providers Using Providerfiles
Important: If your team uses the ProviderFiles add-on, a reminder email will automatically be sent to the provider 30 days before the expiration dates to prompt them to update their profile.
Reports to identify providers with expiring credentials
EAP Expert Cloud offers two reports to forecast clinician licensure and professional liability insurance expiration dates. These reports aid your team in promptly identifying providers requiring updates, ensuring seamless compliance and operational efficiency.
Navigate to Insights on the left-hand menu
Select Reports
Use the keyword search, text to-search box in the upper right-hand corner to search for each report listed below:
Clinical License Expiry Report
Click on the line item of this report that appears in the search results to open
Set the search parameters for the report to pull in providers with upcoming license expirations
Click Submit to run and preview the results
Use one of the buttons to print or share the report outside of EAP Expert Cloud:
Print: Use this button to send the full report to a physical printer or save it as a PDF in the desired location.
Print Page: Utilize this button to print a selected page from the report.
Export To: Select from various file formats to export your data.
Click the Close button to exit the report and return to the Report Module
Clinical Liability Expiry Report
Select the line item from the search results to open the report
Adjust the search parameters to include providers with expiring professional liability insurance
Click Submit to generate and preview the results
Utilize the following options to print or share the report from EAP Expert Cloud:
Print: Send the full report to a physical printer or save it as a PDF.
Print Page: Print a specific page from the report.
Export To: Choose from various file formats to export your data.
Click the Close button to exit the report and return to the Report Module
Troubleshooting Information
Listed below are some helpful tips to assist in monitoring license and liability information:
Regularly Update Information: Keep provider information accurate by updating license and liability insurance details. This ensures the system has the latest information for referrals.
Verify Provider Profiles: If a referral issue arises, double-check the provider's profile to ensure their license and insurance details are accurately entered.
Communicate with Providers: If uncertainties or discrepancies exist, communicate directly with providers to confirm and update their license and insurance information.
