What organizations or companies get entered here?

  • Companies you provide EAP services to;
  • Other EAP Providers who you provide service to (Sub-Contract);
  • Your own company (only if you are internal program) or
  • Departments, locations, divisions etc. of Parent Organizations;


Creating A New Organization/Group

1. Ensure that the Organization/Group does not exist already in the system by clicking on Organization/Group in the left menu bar and searching for their name. If they don't exist, proceed to step 2.

2. Click the New button in the top tool bar

3. Select Organization/Group then Organization/Group

4. You will then be presented with a multi-part Organization file. The first tab is called Details (key information about the company).

Details Key Fields: (* These fields MUST be setup prior to Go-Live)

Organization Name: This is the legal name of the Organization or Group (can be a subsidiary or Dept. within an internal EAP). This is thename that will show at the top of a utilization report.

Inception Date: This is the date when this company first came on board with your EAP. It also typically is the same date as the contract start date (unless you have allowed ad-hoc cases prior). Note: These aren't to be confused with contract dates which we will deal with later.

Termination Date: If you have lost a contract or a company has terminated for whatever reason, then enter the date they terminated services with you. Note: These aren't to be confused with contract dates which we will deal with later.

*Demographic Set: You must assign a set of deographic questions for each organization...Demographic questions typically include: Age, Gender, Occupation, Work Location etc. Most EAPs use the same set of questions for all their customers but please not that does not have to be the case...If you are dealing with a small company whose employees you do not want to identify on a Utilization Report, you can create their own set of demographic question (in Question Sets) that more applys to them with broader answers.

*Contracts: EAP Expert has two types of contracts. You must setup either a Contract (standard) or Master Contract with SLAs) and assign client types, activities and services for this Organization. This is a MUST for software use. Please see section on Contracts for more details.

*Population: In order to run Utilization Reports, you must provide the current population in order to calculate the Utilization Rate.
