Ensure all file viewers receive timely updates to increase awareness and streamline information sharing. This will elevate your team's coordination and enhance your client services.
Universal file alerts are often used for critical information, such as high-risk cases, upcoming deadlines, or urgent client needs.

Important: The Alerts/To-Do Module, under the Alerts tab, maintains a historical log of all active and completed universal file alerts.
Creating a universal file alert on a case
A universal file alert, akin to a post-it note on a paper case file, will appear for users accessing the Client Files module when they view a case containing an active note. This notification is designed to alert anyone interacting with the file.
Let’s review the steps to add an alert to a case file:
Open a case from the Client Files Module
On the top menu bar, locate the Alerts/To-Do button
Depending on the size of your EAP Expert Cloud window, you may find this button under the three horizontal dots on the far right. This adjustment is made when there's limited space to display all available menu buttons.
Click on the downward arrow and choose Create > Alert for the client’s name
On the pop-up, begin entering details about this note
Title: Provide a concise description for the note; it will automatically display upon opening the file.
Expires On: Choose a date to automatically remove this alert from the file.
High Risk: Mark this box for high-risk situations involving the client.
Details: Utilize this area to include additional detailed information, such as instructions.
Click the Save and Close button to activate this alert on the case file
Click Save to continue working in the case, and click Save and Close to save changes and exit the file
To review the file alert, open the case to see the alert display
Click on the alert to view additional information
Note: Clicking on the alert also allows you to edit the note in case any information needs to be updated while the alert is active. Make sure to click Save and Close when edits are complete.
Collaboration and communication tools
In EAP Expert Cloud, you can elevate your case management by setting up To-Dos for yourself and/or team members to streamline follow-ups regarding cases.
To-Do: Task and Reminder
When you create a To-Do, it will be displayed for each user associated with the tasks in the Alerts/To-Dos Module until it is marked as completed.
This functionality effectively monitors your tasks, fostering communication and collaboration with team members without leaving EAP Expert Cloud.
Removing a file alert on a case
While alerts may come with an expiration date, you can proactively remove them before reaching this date by following these steps:
Open the case with an active universal file alert attached from the Client Files Module
Click on the alert when it pops up on the case
Check the box Completed which will remove this alert upon saving
Click the Save and Close button to save the changes made
Tip: All completed alerts are stored within a client file. To review past universal file alerts, navigate to the Alerts/To-Dos button in the case, click View, then click View all alerts for the client.
Click Save to continue working on the file, and click Save and Close to save changes and exit the case
Troubleshooting Information
Here are a few troubleshooting tips relating to managing universal file alerts:
Check Permissions: Ensure you have the necessary permissions to add, edit, and remove universal case file alerts. Verify your access rights with your system administrator(s).
Clear Cache and Cookies: Clear your browser cache and cookies. This can resolve potential conflicts and ensure the latest updates are applied.
Verify Alert Parameters: Double-check that the information entered for the alert, such as title, expiration date, and content, aligns with the software's requirements. Incorrect parameters might lead to issues.
