What is an online intake?

An online intake is an Expert add-on that helps you with the on-boarding process of a new client.

It is a website, with configurable set of questions, for the client to go in to and fill up intake information. Once they click on submit, the information will be transferred over to Expert in the Intake Dashboard (under Dashboards).

It also provides a signature panel which can be signed using a mouse or a keyboard or by hand on mobile devices without having to print anything out.

What are the benefits of an online intake?

The main benefits of online intake as follow:

  1. Increased Efficiency: If you are an organization that currently uses on-paper intakes, the average time it takes your clients to fill out the intake form is more than 20 minutes. Once they’re filled out, someone in your office would then manually enter the same information into Expert.

  2. Secure: Manual intake (paper etc.) also opens you up to security risks. Forms may start piling up on someone’s desk. They could end up in a shred pile that keeps building in a corner. This paper trail makes PHI easy to access for unauthorized individuals such as Other clients, curious family member, night cleanup crew or other staff, those seeking to profit from stolen PHI

  3. Risk Reduction: Printing, scanning, or faxing puts client information at risk. Using an online intake form that clients can fill out at home or in the office reduces the risk.

Where would it sync to in Expert?

It syncs to Expert’s Intake Dashboard (under Dashboards).

What modules of a file can it sync to?

  • All the intake responses are mapped to the Service Requester Notes (Intake Notes or Notes tab) field of the file or to a Case Activity as well. Also, a pdf is auto-generated whenever someone submits an intake online and when it is converted to a file/activity the pdf can be found in the Documents/Attachments tab of the file.

How do I request for an online intake?

To create an online intake form, please, create a service desk ticket with “I want to add this feature“ and “Online Intake Request“ as the title.
