Calendar Integration

EAP Expert offers calendar integration with iCloud, Google, Office 365, Exchange, and Outlook through Cronofy.

The purpose of this document is to show users how the integration works. To best follow this guide the user will need to have Cronofy configured already. To configure the integration, please refer to configuration guide instead.

 

Requesting Calendar Authorization

  • In EAP Expert, open Scheduler

  • Click on “Request Calendar Authorization”

  • Choose the “Clinical(s)” and click on “Send Request for Calendar Authorization”

  • An email will be sent out to the selected Clinical(s) requesting their authorization

 

Authorizing Calendar Access

 

  • The clinician(s) will receive an email requesting authorization to their calendar

  • Clicking the link in the email will bring the clinician(s) to the Cronofy set up page

  • They will just need to follow the step-by-step instructions on the screen (different calendar products will have different instructions).

 

For an example, we will demonstrate setup with Google

  • Click on “Google”

  • Review Cronofy’s Terms of Service and Privacy Policy

  • Select “I agree to the Cronofy Terms of Service and Privacy Policy”

  • Click on the “Link Google Account” button

 

  • Sign in with Google

 

  • Click on “Allow” button

 

  • The user will now see an EAP Expert prompt saying “Thank you for the consent, you may close the window”

Calendar Syncing

  • Any calendar item will be synced automatically from third party calendars to EAP Expert when the Scheduler is Open. The frequency is set in Scheduler Options

  • Any appointment added in EAP Expert will be pushed in real time to third party calendar (no syncing required)

  • If “Show Only Busy for Cronofy Syncing” ticked in “Scheduler Options”, the appointment’s subject from 3rd party calendar will only show “Busy” instead of the real subject

 

 

Revoking Calendar Access

 

At any time, Clinician(s) can revoke their permission to Cronofy.

Different calendar product will have different way on revoking access. Most if not all will be located at “Third Party Permissions” in Settings

For a specific example, in Gmail,

  • User open using the following link (assuming user already logged in) Google Account

  • Click on “Manage third-party access”

  • Click on “Cronofy” (repeat for both entry as needed)

  • Click on “Remove Access”

 

  • Click on “OK”. Cronofy permission has been removed

  • Repeat both the next “Cronofy” entry as needed
